Questions to Ask Wedding Vendors Before Booking in 2026

The fastest way to overspend on a wedding is to book a vendor before you understand exactly what you are paying for. In 2026, the gap between a quoted price and the final invoice is wider than ever: service charges, overtime, travel, and gratuity routinely add 15−25% to the base number. Asking the right questions up front is not about being difficult — it is the single highest-return hour you will spend, often saving couples $2,000−$5,000 across five core vendors.

Every contract follows the same playbook. Vendors quote an attractive headline rate, then layer fees once you are emotionally committed. Your defense is a consistent set of questions, asked of every vendor, with the answers written into the contract. Below, the must-ask questions are organized by vendor type, followed by a quick-reference table you can bring to each meeting.

Venue

The venue sets the budget ceiling, so interrogate it hardest. Ask: What is included in the rental fee, and what is billed separately (tables, chairs, linens, security, cleaning)? What is the service charge percentage, and is gratuity on top of it? Many venues add a 22−25% service charge that couples mistake for the tip — it usually is not. Confirm the overtime rate per hour, the deposit (commonly 25−50% to hold the date), the cancellation and force-majeure policy, and whether you must use in-house catering or pay an outside-vendor surcharge.

Caterer

Caterers price per head, so small assumptions scale fast. Ask whether the quote includes staff, rentals, and tasting fees, and what the final price is at your guest count — not the brochure minimum. Clarify the per-plate cost for children and vendor meals, the bar package structure, corkage if you supply alcohol, and the deadline for the final headcount. Pin down the service charge and confirm in writing that the tasting is complimentary for booked clients.

Photographer & Videographer

Here the trap is deliverables, not the day-of rate. Ask how many hours are included, the exact overtime rate, how many edited images you receive, and the turnaround time (8−12 weeks is standard in 2026). Confirm you get full print and usage rights, whether a second shooter is included, and the backup plan if your photographer is sick. Ask what happens to your files — how long are they archived, and is there a fee to re-download later?

DJ or Band

Music vendors hide cost in logistics. Ask whether setup, breakdown, and travel are included or billed extra, the overtime rate per hour, and what equipment (speakers, lighting, microphones for toasts) is part of the package. For bands, confirm the number of sets and break length, and who provides music during breaks. Always ask for a backup-performer clause.

Florist

Florals swing with season and substitution. Ask whether the quote is firm or an estimate that floats with market prices, the delivery and setup fee, and the breakdown/teardown charge. Confirm the substitution policy if a specific bloom is unavailable, and whether rented items (arches, vases, candelabra) carry a separate return deposit.

Three rules for every contract

• Get everything in writing. A verbal yes is worth nothing. Every inclusion, rate, and deadline belongs in the signed contract — not an email thread.
• Map the hidden fees. Add 15−25% to every base quote to estimate the true cost, then ask the vendor to confirm or correct that number.
• Understand the deposit. Know how much is due (25−50%), when the balance is due, and whether the deposit is refundable if you cancel.
